Business contacts database administration

We can keep a comprehensive database of your business contacts. This can include details of all forms of contact made with the business contact including emails, meetings, tasks and phone calls.

The information contained in the business contact card can be used to produce personalised mail merge documents to send out letters, flyers, and monthly newsletters or produce labels etc. All correspondence sent will be recorded against the contact to ensure up to date information is readily available.

Business correspondence

We are able to create, update and track your business correspondence. We can produce your quotations, invoices and general letters to clients both existing and prospective and track the response they make or if instructed, chase them for payments.

Charity

Having experience the Charity sector, both employed and voluntarily, we have a good understanding of the priorities on a charity's time and money. Relying on volunteers is great and no charity could function without them but there are times when a project comes along that requires longer periods of time to be spent on it. Employees are busy with their own jobs and volunteers offer you what they can but some projects need to be completed to a deadline.

Send us a supply of brochures which we then store. Provide a copy of the covering letter or discuss your needs with us and we will create a customised letter for you. We will then send them to your customers on your behalf as and when required. This work can be done in conjunction with the Business Contacts Database and our Research service which will add the personal touch to your contact with your customers and potential customers.

Data Protection compliance

We can help you work through the basics and be compliant with Data Protection legislation within your company. We will work with you to understand your business and how the paper flow works as well as what personal information you require from your customers and how this information is handled. Diary management and reminder service

We can run your diary for you. We will co-ordinate meetings, arrangements for travel or even remind you of that all important anniversary. We can book conference calls and offer a fully managed electronic on-line diary that will synchronise with your Blackberry, iPhone or PDA. Our reminder service ensures your diary works for you and you don’t forget that all important meeting.

Email re-direction and management

You can divert or forward email to It's My Office for us to reply on your behalf. Advise us of the emails that should be responded to whilst you are out of the office and we will deal with them accordingly. We can also supply you with a custom email address at itsmyoffice.net or help you to create your own email domain of "yourcompany.co.uk" and take over the management of all your email correspondence.

Event management

We have experience of arranging venues for seminars or training courses. We can take on the management of the attendees and make sure they and you show up on the day happy, refreshed and ready to work.

Excel spreadsheets

Excel is a versatile business tool that enables data to be viewed and reported in different ways. We can help you to build spreadsheets that will allow you to view numerical information in ways that make more sense to you than just a screen full of numbers.

Expenses - Managing your monthly records

Send us your receipts each month and we will update your monthly spreadsheet. Alternatively, if you do not have an existing spreadsheet, we will create and maintain the spreadsheet for you.

Transcription service

We are able to transcribe files via mini cassette or digital files from the major transcription equipment suppliers, Philips Olympus etc. Once transcribed, the work is returned by email, post or courier, as per your request. 1 hour of voice recording can take up to 4 hours to transcribe. The time taken is dependent on a number of variables such as the quality of the recording, the position of the microphones, use of jargon or technical terms, voice accents, the number of people speaking and the speed at which each person is talking.

Travel booking & management

We can manage your travel and accommodation needs in this country and abroad for both business and personal trips; research hotels, train fares, flights and anything you may need to make the visit successful.
